CRM Data Operations

Pardot Database Rebuild.

Rebuilt the Pardot audience foundation by auditing a large prospect database, separating sendable records, resolving duplicates, and supporting cleaner nurture, import, and deliverability operations.

The System Problem

A CRM rebuild starts by identifying the connected failures underneath the visible symptoms.

Root cause / 01

A large Pardot database needed a usable sendable audience again

The Pardot database mixed active, unmailable, duplicate, failed-import, and nurture-specific records across recurring operational work. Before new campaigns could be trusted, the audience needed one defensible master dataset and a clear distinction between records that existed and records that were actually sendable.

The project also touched nurture enrollment, scoring behavior, Salesforce imports, and sender authentication. That meant data cleanup could not be separated from campaign operations; every list, import, and suppression decision had downstream consequences for deliverability and reporting.

Audit signals

What the system was telling us.

01

Database contained a large prospect base

02

Substantial segment was unmailable

03

Multiple duplicate groups were identified

04

Scoring logic contained conflicting criteria

05

Sender authentication required DNS coordination

Rebuild Sequence

The work moved from diagnosis to architecture, implementation, and governance—in that order.

Stage 01

Audit Prospect Base

Analyzed all prospects, unmailable states, duplicate groups, review groups, and campaign overlap before producing any new working lists.

Output / Database audit ledger

Stage 02

Build Master Audiences

Produced a deduplicated master dataset, a sendable audience, exclusion lists, merge candidates, and review files for controlled downstream use.

Output / Audience master files

Stage 03

Reconcile Campaign Inputs

Matched imported contacts against nurture needs, existing prospects, overlap rules, and Salesforce behavior before adding records to campaign audiences.

Output / Reconciled nurture lists

Stage 04

Harden Deliverability

Reviewed scoring behavior and sender-authentication requirements, generated DNS values, and coordinated clear validation paths for the marketing subdomain.

Output / Deliverability handoff package

Target System Architecture

Four connected layers turned the portal from a collection of tools into an operating system.

Target-state sequence

04 connected layers

Good automation and reporting sit on top of a governed data and process model—not the other way around.

Layer 01

Master Data

Prospect records were operationally fragmented across exports, failures, and campaign-specific lists with no single cleaned working data base.

Layer 02

Sendability Rules

Mailable and unmailable records were separated into explicit audiences so campaign enrollment could use a defensible sendable population consistently.

Layer 03

Campaign Inputs

Imports and nurture audiences were reconciled against existing prospects, duplicate behavior, overlap rules, and campaign ownership before enrollment.

Layer 04

Deliverability Controls

Scoring, DNS authentication, and sender configuration were documented so campaign operations had clearer technical requirements and handoffs overall.

Qualitative Outcomes

The engagement focused on structural improvement, so the strongest results are clearer operations—not invented vanity percentages.

Audience

Mixed prospect quality and status

Clean master audience created

Sendability

Unmailable records obscured usable scale

Sendable population isolated cleanly

Duplicates

Redundant records required manual review

Duplicate groups explicitly separated

Imports

Recurring failures complicated enrollment

Controlled import workflow established

What Was Delivered

A reusable case study should make the work tangible without exposing confidential client data.

Deliverable 01

Pardot database audit

Deliverable 02

Deduplicated master audience

Deliverable 03

Sendable prospect dataset

Deliverable 04

Duplicate review files

Deliverable 05

Nurture import reconciliation

Deliverable 06

Sender authentication handoff

System note / final

Architecture before automation.

The useful metric was not the original database size; it was whether the system could responsibly act on the audience. This project reinforced that campaign operations get much easier once sendability, duplicates, scoring, and imports stop being separate mysteries and become one governed data process.

Client identity, prospect data, email addresses, and internal campaign details remain confidential.
